Assistencia Labs (“Assistencia”, “we”, “us”, “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit assistencialabs.com, use our lead or demo forms, or otherwise interact with us in connection with our websites and marketing communications. We process personal data in line with the EU General Data Protection Regulation (GDPR) and applicable member-state data protection law. We may introduce additional products over time; this policy applies to our public sites and marketing unless a separate notice says otherwise. Use of the KineticFlow platform by clinics and patients is also governed by our customer agreements and product-specific terms where applicable.

Who we are

Assistencia Labs provides KineticFlow, an AI-native physiotherapy clinic management platform that includes KineticFlow Care (for clinicians) and KineticFlow Client (for patients), with features such as voice-led documentation, AI-assisted planning, and video-based exercise engagement. We may offer or announce other AI-enabled products; this policy describes how we handle information on our marketing website and forms regardless of product. Our public website is assistencialabs.com.

Scope of this policy

This policy applies to personal data we process as a data controller through our marketing website, contact and lead-capture forms, and related communications.

When clinics use KineticFlow to manage their practice, they typically act as the data controller for patient and staff information, and Assistencia processes such data as a processor in line with our agreements with those customers and Article 28 GDPR. In-product use may involve processing of voice audio, video, images, and text to power AI-enabled workflows subject to those agreements. This policy does not replace those agreements or any clinic-specific privacy notices patients receive from their care provider.

Information we collect

We may collect: identifiers and contact details (such as name, email address, phone number, clinic name, and professional role) when you submit forms, request a demo, sign up for updates, or correspond with us.

Technical and usage data when you browse our site, such as IP address, device and browser type, general location derived from IP, pages viewed, and referring URLs. We may use cookies and similar technologies as described below.

If you apply for a role or partner with us, we may collect additional information you choose to provide.

How we use information

We use information to respond to inquiries, provide demos and trials, operate and improve our website, send transactional or service-related messages, analyze aggregate usage trends, secure our services, comply with law, and enforce our terms.

As required under the GDPR, we rely on appropriate legal bases such as consent (e.g. marketing emails and non-essential cookies where applicable), performance of a contract, our legitimate interests (e.g. site security and analytics, balanced against your rights and freedoms), or compliance with a legal obligation.

Sharing and subprocessors

We may share information with service providers who assist us (e.g. hosting, analytics, email delivery, payment processors when you pay us, and customer support tools), subject to confidentiality and processing terms consistent with the GDPR.

We do not sell your personal data. We share personal data with subprocessors only under written terms that bind them to data protection obligations equivalent to ours.

We retain personal data only as long as necessary for the purposes described in this policy, including satisfying legal, accounting, or reporting requirements, unless a longer period is required or permitted by law.

Security

We implement technical and organizational measures designed to protect personal data against unauthorized access, loss, or alteration, as required by Article 32 GDPR. No method of transmission or storage is completely secure; we encourage strong passwords and safe handling of account credentials where applicable.

Your rights and choices

Subject to the GDPR, you have rights to access, rectify, erase, or restrict processing of your personal data, to object to certain processing, to data portability, and to withdraw consent at any time where processing is based on consent (without affecting processing carried out before withdrawal).

You may opt out of marketing emails by using the unsubscribe link in those messages. Browser settings may allow you to block cookies; some site features may not work without them.

International transfers

We aim to process and store personal data within the European Economic Area (EEA) where practicable. Where we transfer personal data outside the EEA, we rely on appropriate safeguards required by the GDPR, such as an adequacy decision or the European Commission’s Standard Contractual Clauses, together with supplementary measures where needed.

Children

Our marketing website and services are directed at businesses and professionals. We do not knowingly collect personal data from children through our site. If you believe we have collected such information, contact us and we will take appropriate steps to delete it.

We and our partners may use cookies and similar technologies to operate the site, remember preferences, measure performance, and understand traffic patterns.
